Hosting an event in a gallery space in Redfern and Waterloo

Two guests standing among large painted works on the walls of The Black Canoe gallery in Waterloo

Most event spaces give you four walls and a table. At The Black Canoe Gallery & Cafe, the walls are already full of original art. If you are looking for somewhere in Redfern or Waterloo to host a celebration, a work function, a workshop or a launch, this guide explains how hiring our space works, what is included, and how to plan an event that runs smoothly.

Why host in a gallery

A gallery does a lot of the work that event planners usually spend money on. The art sets the mood and gives your guests something to look at and talk about from the moment they walk in. Conversations start on their own. Photos look better. And when the art on the walls is by First Nations artists and contemporary creatives, as it is here, your event carries a sense of place that a function room cannot.

In our own words: create an unforgettable experience in a unique gallery setting where contemporary art and exceptional hospitality come together.

What kinds of events suit the space

The Black Canoe is perfect for:

  • Private celebrations, such as birthdays and milestones
  • Corporate functions, from team breakfasts to client get-togethers
  • Workshops
  • Launches, whether a product, a book or a project
  • Community gatherings

We also welcome openings, dinners and gatherings of all kinds. If your event does not fit neatly into one of these, tell us about it anyway.

What venue booking includes

Booking the space is straightforward. Venue booking includes:

  • A $500 refundable security bond.
  • A minimum $100 catering spend, with catering provided exclusively by The Black Canoe Gallery Café.
  • A choice of three curated catering menus to suit your event, your guests and your budget.

Let us take care of the food while you enjoy a truly memorable event in one of Sydney's most distinctive gallery spaces.

About the catering

Because catering is provided exclusively by our café, you do not need to find, brief and coordinate an outside caterer. You choose from three curated menus, and we take it from there. When you enquire, ask us to send the three menus through so you can compare them against your guest list and budget.

For a sense of what the café does every day, have a look at our menu: coffee and tea from $5.00, Matcha at $6.00, and food such as Toasties ($12.00), and Pies, Burek and Sausage Rolls ($8.00). Gluten free options are available too.

About the bond

The $500 security bond is refundable. It is a standard part of hiring a space that is also a working gallery, with original art on the walls. Ask us when you book how and when the bond is returned so you can plan for it.

Your planning checklist

A little planning up front makes for a calm event on the day. Work through this list before you send your enquiry, and you will have nearly everything we need to give you a clear answer.

  1. Pick your preferred date, plus a back-up. Having a second option makes it much easier to find a fit.
  2. Decide on start and finish times. Include set-up and pack-down time, not just the time guests are in the room.
  3. Estimate your guest numbers. A rough range is fine at first; it helps us talk through the layout and catering.
  4. Describe the type of event. A seated workshop needs a different set-up from a standing launch or a celebration.
  5. Set your catering budget. Remember the minimum catering spend is $100, and you will choose from our three curated menus.
  6. Note dietary needs early. Let us know about gluten free or other requirements when you enquire.
  7. Plan for the $500 refundable bond.
  8. List anything you want to bring in. Speakers, a microphone, signage, a display table or decorations: tell us in advance so we can talk it through.
  9. Think about access. If any guests have accessibility needs, mention them so we can help you plan.
  10. Plan your guests' arrival. Send them the address, Shop 1, 1-3 Botany Rd, Waterloo NSW 2017, and a map link with the invitation.

The art is part of the event

Hosting at The Black Canoe means your guests are surrounded by original, one-of-a-kind works, many of which are for sale. That makes the space a natural fit for launches and corporate events with a creative or community focus, and it means a guest who falls for a painting can take it home. Browse what is available in the shop before your event, and check the exhibitions page to see which show will be on the walls on your date. Right now that is BLAK LUB by Sydney based Warumungu designer and artist Jessica Johnson, on until 22 November 2026.

Because the room changes with every exhibition, the look of your event will depend on your date. That is part of the appeal: no two events here look the same.

How to enquire

Head to Book our space and fill in the form under "Tell us about your event". Include as much from the checklist above as you can: date, times, guest numbers, the type of event and your catering budget. We will come back to you by email.

Prefer to talk it through? Call 0406 499 888 or email info@theblackcanoe.com.au. Better still, drop in during café hours (Tuesday to Sunday, 10am – 4pm), have a coffee and see the room for yourself before you decide.

Who you are booking with
